How far in advance should a couple book their wedding DJ?
When planning your wedding, it’s important to stay organized. The most popular wedding vendors, like venues, photographers, and especially wedding DJs, tend to book up quickly. These key vendors, often called “the big three,” should be booked as early as possible to ensure availability. A reputable wedding DJ typically books 12 to 18 months in advance, but for popular months like May, June, September, and October, it’s not uncommon for wedding DJs to book up 24 months ahead. What should couples focus on when interviewing wedding DJs for their big day?
The most important thing when interviewing wedding DJs is making sure you connect with them personally. A good wedding DJ will take the time to get to know you and understand your vision for the day. Ask about their experience, style, and approach to weddings. We believe a wedding DJ should focus solely on the couple they’re working with, so we don’t invite potential clients to someone else’s wedding. Before booking, we’ll arrange a phone or video conversation with the actual DJ who would perform at your wedding. Your DJ’s name will also appear on your contract, so you’ll know exactly who will be with you on your wedding day.
How involved is Andy after we’re matched with our DJ?
Andy remains your primary office contact throughout the entire process. Your DJ will work with you directly on the music, formalities, timeline, and flow of the celebration, while Andy stays involved behind the scenes.
Whether you need to add a service, request a copy of your contract or account statement, ask for ideas, or simply make sure you’re staying on track with a planning milestone, Andy is always available to help. You get the personal relationship of working directly with your DJ, along with the additional support of an owner who remains invested in your experience.
When will we begin working directly with our DJ?
Right away. Once you’ve booked, you’ll have access to your DJ whenever you need them. If you have a question about setup, music, formalities, the timeline, or anything else related to the wedding, you don’t need to wait until the final planning meeting to reach out.
Your DJ will also schedule a detailed planning conversation with you about a month before the wedding. That meeting brings everything together, but the communication and relationship begin much earlier.
Does TSG book more than one wedding per DJ in the same day?
As a company, we may have several TSG weddings taking place on the same date. Each individual DJ team, however, is dedicated to one event that day. Your team isn’t rushing from another wedding or leaving early to perform somewhere else. You are their focus and priority.
What happens if our DJ becomes sick or has an emergency?
Our team takes its commitment to every couple extremely seriously. It would take something truly significant for one of our DJs to miss a wedding, and we’re proud to say it has never happened in TSG’s history.
One benefit of working with a company that has multiple experienced DJs is that our first round of emergency backup is already in-house. Andy also founded the Greater Boston Wedding DJs, a professional community of more than 400 area DJs. That community gives us an additional emergency network in the extraordinarily unlikely event that we ever need outside support. We plan for situations we hope will never happen so our couples don’t have to worry about them.
What type of insurance should couples check to make sure their wedding DJ has?
While wedding DJs aren’t legally required to be insured, most wedding venues require vendors to carry liability insurance. A reputable wedding DJ should have at least a one-million-dollar liability policy. TSG Weddings carries the one-million-dollar liability coverage commonly required by venues. This protects the venue, the couple, and the DJ in case of an unforeseen issue, while giving everyone added peace of mind.
Do you provide a written agreement?
Yes, we always provide a written contract. This legally binding agreement outlines the details of your event, including the DJ’s services, equipment needs, payment structure, and any additional services. A written contract is essential for a smooth, stress-free wedding day.
Planning, Music, and MC Style
How do TSG’s online wedding planning and music tools work?
It’s simple. You’ll log into your event portal and complete the planning questionnaire at your own pace. It breaks the wedding into small, manageable pieces and asks for the information we need about your ceremony, introductions, formalities, timeline, and other important details.
You’ll also have access to our music tool, where you can tell us about the songs and styles you love, the ones you like, and anything you don’t want played. We use everything you enter as the foundation for a detailed planning conversation with your DJ about a month before the wedding.
Can couples request specific songs for their wedding DJ to play?
Absolutely. We encourage couples to use our online planning tools to share their preferences. You can organize dancing music into Songs You Love, Songs You Like, and Do Not Play. How many songs should we choose for dancing?
We recommend choosing approximately 10 to 15 must-play dancing songs. These should be the songs that really matter to you and that you would be disappointed not to hear. You can also give us a broader list of songs you like, along with five to ten songs or styles you definitely don’t want played.
Special songs for the ceremony, introductions, first dance, parent dances, and other formal moments are planned separately. Focused direction helps us understand your taste while leaving your DJ enough flexibility to read the room, respond to your guests, and keep the dance floor moving.
Can we give our DJ a Spotify playlist?
Absolutely. We never turn away useful information, and a Spotify playlist can give us a great look at the music you naturally listen to and enjoy.
We’ll still ask you to refine the most important songs through our online planning tools. A playlist may contain hours of music, so identifying the songs you truly love helps your DJ understand your priorities while leaving room to read the dance floor and make good decisions in the moment.
Do wedding DJs usually play requests made by the guests? How is this typically handled?
We leave it up to the couple! If you want us to take guest requests, we’ll be happy to do so, while always respecting your “Do Not Play” list. Wedding DJs use their experience and judgment to keep the dance floor full and the energy high. If a song is a crowd-pleaser, we’ll play it; if it’s a party killer, we’ll steer clear. The goal is always to keep the dance floor packed and the energy flowing!
What type of music does TSG Weddings have in their collection?
Our wedding DJ library spans decades, genres, and international music. We update it regularly with current releases while maintaining the classics and throwbacks that bring different generations together. How do couples communicate with their wedding DJ about what should be said during the event?
We take as much guidance as you’d like to provide. If you have specific announcements or things you’d like us to say, we’re happy to follow your lead. If you’re unsure, we can help with suggestions, keeping the announcements concise and professional. Our philosophy is simple, more dancing, less talking!
What is TSG’s MC style?
All of our DJs are polished, well-spoken MCs who believe less is more. We don’t enjoy hearing someone shout over every song, and we don’t think your friends and family enjoy it either.
Announcements are clear, concise, and made for a reason. We’ll introduce formalities, communicate important information, and help direct the flow of the celebration so guests always understand what’s happening and what their role is in that moment. The microphone supports the wedding without making the DJ the center of attention.
Do your DJs perform games, line dances, or other audience-participation activities?
Unless you force us to, no! Our normal approach doesn’t include line dances, games, gimmicks, or uncomfortable audience-participation moments. We keep the celebration elegant, polished, and focused on great music.
It’s still your wedding. If there’s a particular line dance or tradition you genuinely want, just tell us. We’ll always follow your preferences, but none of those activities will be introduced unless you ask for them.
Is it an additional cost for the wedding DJ to also act as the MC/Master of Ceremonies?
No, our wedding DJs are also experienced MCs, and there is no extra charge for this service. As your MC, the DJ will help with announcements, coordinate with other vendors, and keep the event flowing smoothly. Our DJs work with an assistant to ensure everything runs seamlessly throughout the evening.
Wedding-Day Logistics
How far in advance should the wedding DJ arrive at the event?
A wedding DJ should arrive 1 to 2 hours before the event begins. This allows plenty of time to set up, troubleshoot any potential issues, and get into the right attire before guests start arriving. The time needed for setup depends on factors like the size of the venue, the type of equipment used, and whether additional services like lighting or photo booths are provided. Arriving early ensures that everything is in place for a smooth start to the celebration.
What if the wedding DJ’s equipment breaks during the event?
A professional wedding DJ always comes prepared for the unexpected. At TSG Weddings, we bring backup equipment and multiple laptops to every event. This ensures that even if something goes wrong, we have a backup plan. We pride ourselves on our preparedness, so you can relax and enjoy your day, knowing we’ve got it covered.
What happens if the wedding timeline changes during the reception?
Real weddings don’t always follow the timeline exactly, and that’s okay. Because we’re detailed and organized leading up to the wedding, it becomes much easier to adapt smoothly when something changes in the moment.
Your DJ will communicate with you, the venue, and the other event professionals to understand what has changed and determine the best way forward. Whether dinner runs late, photographs take longer than expected, or a formality needs to move, we’ll work together toward the best possible outcome without making the change feel disruptive to your guests.
What if a family member or friend wants to make a toast?
We’re happy to accommodate toasts and speeches! Just let us know ahead of time who will be speaking so we can ensure everything runs smoothly. If someone asks to speak during the event and isn’t on the approved list, we’ll check with you before handing over the mic.
What does TSG Weddings require for setup at my ceremony or reception?
Our setup is simple and streamlined. We need a 6-8 foot table with linens, and access to one or two 20-amp outlets depending on the equipment used. We’ll coordinate with your venue to ensure the setup is efficient and meets your needs.
Can you provide separate sound systems for the ceremony, cocktail hour, and reception?

Can you accommodate a ceremony and reception in different locations?
Yes. Most ceremonies take place at the reception venue in a separate space, but we also work with couples whose ceremony and reception are at completely different addresses.
Tell us about both locations as early as possible. We’ll review the travel time, setup requirements, staffing, and equipment, then explain the available options and any additional pricing before you make a decision.
Does our officiant need a microphone for the ceremony?
If your officiant has a strong voice and the ceremony is in a quiet location, microphones might not be necessary. However, if your ceremony is outdoors, or in a large venue, we recommend using microphones to ensure everyone can hear the vows and readings clearly. We offer a variety of microphone options, including wireless handhelds and clip-ons, to suit your needs.
What happens if our venue has a volume limit or noise restriction?
Some venues enforce strict sound rules. These may include a hard volume limit, restrictions on subwoofers, or a specific time when amplified music must end.
We’ll work with the venue and follow its requirements while still doing everything reasonably possible to create the energy you want. We’ll also make sure you understand any restrictions we learn about, since venue rules are outside of our control and can affect what’s possible during the celebration.
What will our DJ wear to the wedding?
We dress professionally and appropriately for the wedding. Approximately 99 percent of the time, that means a suit, similar to what your family and guests are wearing. If your wedding has a different dress code or setting, we’ll talk about it ahead of time and make sure our attire fits the occasion.
Do we need to provide a meal for the DJ and assistant?
Meals aren’t required, but they’re always appreciated. Our team is often onsite for many hours between setup, guest arrival, and the celebration itself. If a meal is available, the best time for the DJ and assistant to eat is typically while you and your guests are eating, so they’re ready before the next formalities or dancing begin.
Services, Pricing, and Policies
Are there any setup or breakdown fees that the couple is required to pay for their wedding DJ?
At TSG Weddings, we believe in transparent pricing. There are no hidden setup or breakdown fees. Additional charges may apply for distant travel, special transportation requirements such as ferries or remote locations, or occasionally an additional team member when a venue has an especially challenging load-in. Any additional cost will always be discussed upfront, so you’ll understand the complete price before moving forward.
What extra services can a couple add to their wedding DJ package?
TSG Weddings offers ceremony sound, dance-floor wash lighting and wireless uplighting, photo stations, simple videography, and DJ and saxophone fusion. We’ll help you choose the enhancements that make sense for your venue, timeline, and the experience you want.
How do couples know if lighting options are right for their wedding?
Wedding lighting can make a significant impact on the atmosphere of your celebration, but it isn’t necessary for every event. Ask your wedding DJ, venue, or photographer for their opinion. We can help you decide whether dance-floor wash lighting, uplighting, both options, or no additional lighting makes the most sense for your venue and the experience you want.
How do booking fees and final payments work for a wedding DJ?
A non-refundable booking fee secures your date and your DJ. The remaining balance and payment schedule are clearly listed in your written agreement, so you’ll understand every charge before you commit.
When is the entertainment balance due, and should we tip the DJ?
The remaining balance is due 21 days before your event. Tipping is never required, but it’s always appreciated if you feel your wedding DJ exceeded expectations.
What happens if the wedding needs to be canceled or rescheduled?
If you need to cancel or reschedule your wedding, contact Andy in the TSG Weddings office as soon as possible. We’ll review the situation with you and determine what options may be available. You should also refer to the terms of your signed agreement, which explain whether the date can be moved, whether any penalties apply, and whether any remaining balance is still due. Rescheduling options will depend on availability and the specific terms of your contract.
Are travel costs included, and how far will TSG travel?
Travel time of less than one hour is generally absorbed into the event package price. Additional travel fees may apply for locations farther away, overnight travel, ferries, or other special transportation requirements.
We’ll review the location before preparing your agreement. Any travel-related cost will be clearly explained and included in the pricing before you sign a contract, so there won’t be a surprise later.
